Summary

Willkie Farr & Gallagher LLP is looking for a Docketing Supervisor to be based out of our Los Angeles or San Francisco office. Willkie is an elite international law firm of approximately 1,200 lawyers located in 16 offices in six countries.

 

The Docketing Supervisor will support the daily operations of the Docketing Department for our West Coast offices and will oversee and train a team of entry-level clerks. This role will also provide backup support to other offices as needed and will report directly to the West Coast Docketing Manager. This role requires a clear understanding of state and federal California rules, practices, procedures, and systems of the courts and agencies frequented by the Firm. The ideal candidate will demonstrate sound judgement, the ability to effectively train and instruct others, and attention to detail.

Responsibilities

  • Understanding and researching California state and federal court/agency procedural rules and practices.
  • Docketing all incoming litigation mail, notices from court and all pleadings in a litigation matter, while following Firm’s established systems, routines, and schedules.
  • Supervise entry-level Docketing Clerks. Provide direction, review executed work, and deliver constructive feedback and training.
  • Ensure docketing systems are updated by verifying that all documents are entered for each case and that the deadlines are calculated correctly.
  • Keep abreast of developments, procedures and rules in the forums where the Firm practices including general state and federal practice.
  • Advise attorneys on court procedure, including electronic case filing procedures.
  • Responsible for understanding and using computerized case management system including docketing court documents, calendaring dates and reviewing and maintaining multiple court docket e-mail boxes.
  • Establish and maintain good working relations with court personnel including process servers and couriers, administrative assistants, paralegals, and attorneys.
  • Conduct research using a variety of tools, including the accessing of private and public databases.
  • Experience and willingness to train Docketing Clerks on e-filing in both state and federal courts and to be available and willing to provide regular, scheduled afterhours coverage and overflow coverage as necessary.  Willingness to learn other e-filing systems, e.g., for arbitration and federal/state agency matters.
  • Responsible for special projects as assigned by the Docketing Manager.
  • Train, teach or instruct on various Docket functions.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree required, with a strong GPA, or comparable work experience.
  • Knowledge of electronic docketing software, preferably CompuLaw.
  • Working knowledge of and interest in civil procedure and practice in California state and federal courts.
  • Exceptional verbal and written communications skills.
  • Strong attention to detail, follow through and resourcefulness.
  • Ability to prioritize competing demands under tight deadlines.
  • Ability to be an independent decision maker and exercise discretion.
  • Ability to take the lead on certain task with little to no supervision and see the task to a successful conclusion.
  • Ability to take direction from Docketing Manager and adapt to the Firm’s established systems.
  • Demonstrated ability to professionally work and collaborate with colleagues at all levels.
  • Ability to regularly work overtime, after hours or weekends as needed.

  • Ability to sit at a desk most of the working day and walk short distances
  • Needs manual dexterity, speed and accuracy in handling office equipment
  • Ability to work efficiently and accurately in an atmosphere of frequent interruption
  • Ability to work in close proximity to other individuals
  • Ability to carry light objects, e.g., files, small objects and supplies a short distance.
  • Must be able to lift, carry and move objects up to 15lbs 

Employment Status

  • Exempt
  • Hybrid – willing to consider hybrid in-person and remote role based in the Los Angeles or San Francisco office.

Pay Range

USD $120,000.00 - USD $130,000.00 /Yr.

The salary range for this role represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
