Summary

Willkie Farr & Gallagher LLP is seeking an Administrative Assistant to support the Private Wealth group based in the Los Angeles office. Willkie is an elite international law firm of approximately 1,200 lawyers located in 16 offices in six countries. 

The ideal candidate will have a minimum of two years’ of administrative experience in a professional services or law firm environment. This role requires in office attendance Monday through Friday.

Responsibilities

  • Provide administrative support to attorneys, including calendaring, drafting correspondence, filing and preparing engagement letter.
  • Make, screen and route calls, place conference calls and schedule appointments, travel and meeting arrangements.
  • Communicate with clients about their documents and fulfill related requests. Serve as the main point of contact with all clients.
  • Draft Estate planning documents, such as HCPs and POAs.
  • Bind wills and prepare documents for execution.
  • Assist with the Probate process as necessary.
  • Support tax work by keeping client documents organized, copying, and communicating required information to clients.
  • Proofread client documents and other legal documents, as requested.
  • Keep meticulous records of all documents created and executed.
  • Maintain communication with clients, attorneys and staff.
  • Prepare client billing and input time entry.
  • Assist attorneys with client outreach and business development needs when requested.
  • Assist with overflow work as requested.
  • Perform other duties as assigned.

Qualifications

  • A minimum of two years’ experience in an Administrative Assistant role in a professional services or law firm environment required.
  • Proficiency in Microsoft Office Suite required.
  • Previous experience supporting Private Wealth practice group preferred.
  • Ability to work well under pressure.
  • High level of professionalism and excellent customer service skills.
  • Excellent organizational skills and attention to detail.
  • High level of discretion while working with sensitive information and documents.
  • Candidates with notary certification preferred.

ADA Requirements

  • Ability to sit at a desk most of the working day and walk short distances
  • Needs manual dexterity, speed and accuracy in handling office equipment
  • Ability to work efficiently and accurately in an atmosphere of frequent interruption
  • Ability to work in close proximity to other individuals
  • Ability to carry light objects, e.g., files, small objects and supplies a short distance.
  • Must be able to lift, carry and move objects up to 15 lbs.

Pay Range

USD $70,000.00 - USD $80,000.00 /Yr.

Pay Range Statement

The salary range for this role represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
