Summary

The New York office of Willkie Farr & Gallagher LLP is looking for a HRIS Coordinator to support the Human Resources department. Willkie is an elite international law firm of approximately 1,300 lawyers located in 16 offices in six countries. 

 

The HRIS Coordinator will be based out of our New York Office, reporting to both Director of HRIS/Benefits and HRIS Solutions Architect. The HRIS Coordinator provides administrative and transactional support to the HRIS function, maintaining the accuracy and reliability of HR data within UKG and iCIMS. This role is the primary daily contact for HR system questions and assists with reporting, testing, and system upkeep. The Coordinator ensures smooth collaboration with Payroll and Benefits teams, contributing to consistent, compliant HR processes across the firm.

Responsibilities

Reporting and Analytics

  • Run and distribute standard and ad-hoc HR reports
  • Perform basic data validation and ensure reporting accuracy

 

System Configuration and Maintenance

  • Maintain employee and job data in UKG
  • Update security roles as needed
  • Support user access requests and troubleshoot login or permission issues
  • Perform basic data imports and exports under the guidance of the HRIS Specialist or HRIS Architect

 

Collaboration and Project Work

  • Assist in the testing of new features, upgrades, and integrations
  • Partner with the payroll team to ensure timely and accurate data for pay processing. Process data integrations between Workforce Management and UKG Pro for payroll processing. Work closely with Director of HRIS and Payroll Coordinator to identify and correct payroll processing errors.
  • Support the HRIS team on data cleanup or configuration projects

 

Training and Support

  • Respond to employee and manager questions on HR system functionality
  • Provide system navigation assistance and support for Workforce Management such as timecard edit help
  • Train employees on new processes/functionality, develop user procedures, guidelines and documentation.

 

Minimum Essential Responsibilities:

  • Maintain and update employee and job data within UKG and iCIMS with accuracy and confidentiality
  • Review, audit, and reconcile timecard and payroll data for accuracy prior to processing
  • Respond to system-related inquires and provide first-level support to employees and managers
  • Provide administrative and project support to the HRIS team as assigned
  • Maintain compliance with firm policies, HR data standards, and confidentiality requirements

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Information Systems, or a related field preferred
  • Knowledge of Microsoft Excel required
  • Experience working in HRIS preferred
  • Ability to communicate effectively, both orally and in writing with all levels of Firm personnel
  • Ability to work efficiently and accurately in a fast-paced environment
  • High level of professionalism and strong customer service skills
  • Ability to work independently and as part of a team
  • Strong organizational and time management skills
  • High degree of accuracy and attention to detail

ADA Requirements

  • Ability to sit at a desk most of the working day and walk short distances
  • Needs manual dexterity, speed and accuracy in handling office equipment
  • Ability to work efficiently and accurately in an atmosphere of frequent interruption
  • Ability to work in close proximity to other individuals
  • Ability to carry light to moderate objects, e.g., files, small objects and supplies a short distance.
  • Must be able to lift, carry and move objects up to 15 lbs.

Pay Range

USD $60,000.00 - USD $65,000.00 /Yr.

The salary range for this role represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
